Features - Week 1

Customs Pre-notification process: GMR, MRN and PBN

Start capturing customs information required for import/export pre-notification, e.g. when going from the UK to EU. The information that can be captured is:

  1. The MRNs for customs

  2. The PBN/GMR reference number

  3. Declaration type (import/export)

  4. Origin and Destination country

When a trip is crossing borders within customs territory (e.g. EU → GB), an import and export Customs Pre-Notification can automatically be created on the trip.

  1. The Customs Pre-Notification item automatically contains the info of the underlying order (like the MRNs for this pre-notification) and the countries it is exiting/entering, which is deduced from the border crossings found on the route.

  2. A user can also manually add a Customs Pre-Notification item to a trip, if there is not one automatically created.

New Charge Templates in Configuration.

Charge Templates represents a step up in configuring rates and customer price lists. Streamlining the process of configuring price calculations, templates are available for Transport charges, surcharges and cost calculations.

Charge templates offer a significant improvement to Rate Cards by offering more flexibility and easier updates to customer rate cards when:

  • there is a set of base price calculations, where each customer may need slight adjustments to specific calculations.

  • creating a template, you can define base price calculations that can be used as a starting point, making it easier to compare between template prices and customer-specific prices.

Existing charges will now show up as Templates, but there is nothing to do further. These are now available as templates should you want to apply these to new price lists. Any existing links to price lists are maintained.

Creating a Charge Template follows the same process as creating a charge:

To create a linked template with a price list:

  1. Create the Charge Template

  2. Create the Customer Rate Card

  3. Link the template to the Customer rate card

  4. Validate rates work as expected.

With the Charge Template created, setting up or modifying multiple price lists becomes a quick and efficient process.

Show resource availability on planning board - table view

If the resource is set to 'Always show on planning', the dates the resource is unavailable are shown on the planning board for full transparency.

Enhancements - Week 1

Planning board - Table view: Shows icons for all stops

Table view on the planning board has been updated to now show all relevant stop activities on a trip. The order and trip route will display to show the individual stop actions to give improved transparency.

You can read more about the different Planning Views HERE.

Planning board - Improved visibility when selecting multiple rows

When selecting multiple orders on the planning board, the column headers will now dynamically adjust to account for the totals for quantity, weight, etc. The column header will display the totals for the orders selected.

This includes where orders are selected outside of the currently visible range. This transparency will allow better visibility for planning.

Features - Week 2

Invoice Lists Overview - New columns, filtering and sorting.

Visibility has been improved on the Invoices List, by adding some additional column options. Click the 'Edit Columns' and the side menu will open, this will show all the options available to add to the view as a column. There is now a column option to show the VAT component separate to the revenue. If both are enabled these appear as 2 separate columns. If the VAT component is toggled off, with the Revenue on, the revenue will still show EXCLUSIVE of VAT.

In addition to the new options, column headers can also be filtered / sorted. With the cursor in the column header, the filter icon will appear in the bottom right corner. Click on this to expose the filtering options. Once a filter is in place, a label will show confirming how many filters are active.

Subcontractor list overview - Column customisation options.

There are some new columns available on the subcontractor list, including intermodal operators. To improve overall visibility, the option to 'Edit columns' is added, allowing the user better flexibility with how they display the list.

To improve visibility, column headers include filtering and sorting. With the cursor in the column header, the filter icon will appear in the bottom right corner. Click on this to expose the filtering options. Once a filter is in place, a label will show confirming how many filters are active.

Qargo Email Intelligence - Scan purchase invoice directly from email.

Qargo Intelligence continues to evolve, with new functionality added to the Email Intelligence. It is now possible to scan attached purchase invoices directly from the Qargo Email Intelligence add-in.

Open the email and from the Qargo Plug-In, select the action 'Scan purchase invoice'.

If there is more than one attachment linked to the mail, this action will open a pop-up that allows the user to choose which document(s) they want scanned as a purchase invoice.

Check out more of the latest Qargo Email Intelligence features HERE.

Trips list overview - New view options.

The Trips list overview now has the option to create a custom view for the user. The tabs will show the '+ View' option. Click on this tab will create a duplicate of the All tab, pulling in all the trips. Using the 'Edit Columns' allows specific columns to be enabled, including the new option for 'Department'. Each column has the option to filter and sort, to further enhance the view. Click into the column header to expose the filter icon in the bottom right corner. Click the icon to expose the filtering/sorting options available on this column. It is possible to give the tab a specific name by clicking on the tab.

Enhancements - Week 2

Customer profile - Billing frequency configuration

Customer profiles can now be set with a 'Billing Frequency' option. There is a new field in the customer profile where options can be set for customer preference on when to receive invoices.

Once the preference is set, this becomes an option in several list views, across different menu options (ie: Orders, Invoices, etc.), and can be toggled on using the 'Edit Column' option on the page. Once toggled on, the status will show on the table view.

Features - Week 3

Rate Cards *New* metric - calculate rate by distance per country

There is a new metric available to calculate rates based on separate distance ratings per country or you can exclude countries from being rated at all! To use this rate, use the FORMULA calculation method, select the metric as 'Distance / Per Country'. This option can be used for total miles, and also loaded or empty miles as well.

Example:

Price list is created with a rate for France and another rate for Belgium.

Create a route from UK to BE, with a route that goes through France.

Even though the route starts in the UK, this portion doesn't rate, as there is no calculation in the rate table for UK trips.

The system will rate based on the 2 calculations set up: France & Belgium, and you will get the following price:

  • The distance in BE: 48.05miles x £3 = £144.15

  • The distance in FR: 300.82miles x £6 = £1804.92

  • The distance in the UK is not rated

Improved Approval actions on charges

The “Only invoice if approved” option was only available if your charge had the “Always add to order” toggled. Not anymore! You can now do so for any charge.

As an extra improvement, you can now quickly approve/reject those charges without opening the charge edit modal (the buttons only appear on hover).

*NEW* - Chargeable Weight conversion table added.

We added more flexibility in the system how you configure chargeable weight, you can find a new section in the Configuration menu called 'Chargeable weight conversion'.

Additional metrics have been added for conversion, choices now include:

  • Volume

  • Loading meters

  • Any packaging type

  • Any predefined packaging size

Instead of having the configuration directly on the transport service these can be set as a template and added to multiple services. When creating the price list, there is a new metric available which can look to the new chargeable weight table.

Click HERE to see all the latest details for Chargeable Weight Conversions.

Multiple reservations for the same resource now available

You can now assign a resource (group) to multiple sections in the planning board. This also fixes a bug where, if you dragged a resource to a section, it sometimes got shown in the wrong section.

ADR - Added support for ADR points system for improved planning

We have now added support for the ADR points system within Qargo. This means users can now see the ADR points within the application and use it for planning purposes.

  • We show the points on hover next to the order tag

  • You can optionally enable the ADR points in most Qargo screens and this will show the ADR points in the goods info

In order to make it easier for the users to know which goods metric to fill in for the ADR item (weight vs volume), there is now a physical state indication of the ADR substance.

  • If it’s a solid → we will use the weight for the ADR points calculation

  • If it’s a gas/liquid → we will use the volume for the ADR points calculation

  • If it’s unknown → we will take whatever is filled in giving priority to the weight and then the volume
