Intermodal Update: Editing connection improvements

If the order has been built, and the Intermodal operator needs to be updated, Editing the connection will now pre-fill correct shipment dates thereby improving efficiency by using the schedule.

Planning: Table view of planning board.

A new table view for planning has been introduced to enhance trip management, allowing efficient drag-and-drop interactions for creating and managing trips. Users can now easily transition from Preplanning to Planning while maintaining a clear overview of their reservations and resources.

The double planning board option has been split up into a pre-planning part and a planning part.

Pre-planning Views.

The planning board has the option for both a Pre-planning and a Planning panel The Pre-planning is only available if the main planning view is timeline/block/table.

In these cases, you can choose between the follow views for Pre-planning:

  • The same view as the planning board view. For instance, if the planning view is Blocks, then you can also choose Blocks for the pre-planning, if Timeline, the pre-planning view is also Timeline, etc.

  • Table View. This is available for all the Planning options, excluding Legs (list (this is always available)

  • Hide pre-planningThe pre-planning is only available if the main planning view is timeline/block/table. In these cases, you can choose between the follow views for the pre-planning:

Planning: New filter options.

There are new options under the Customise filters, which will allow Additional fields that have been added to Stops, to now show under the 'To Plan' option.

Scanned Purchase Invoice uploaded on existing billing proposal

There is a wide range of automated functions that lets users enter new purchase invoices into Qargo. While this automation helps users who enter purchase invoices after receiving them from contractors, it didn't address another common workflow: users who create billing proposals in Qargo first and upload purchase invoices later.

We've now added functionality that automatically scans purchase invoice documents when they're uploaded to existing billing proposals. When the scan is completed, it automatically updates the external invoice number, invoice date, due date, document total, and tax total on the invoice.

There are 3 ways Purchase Invoices can be uploaded. The document is scanned and the information updated regardless of which option is used.

1.) Manually upload from the Billing Proposal:

Click the Upload Icon and the Add document window will open. Drag file, or click and add the document to upload. Click SAVE.

Once the document is a processed it will show 'Invoice Updated' and the status on the Billing Proposal will change to 'INVOICED'. The

Select the drop down option for 'INVOICE'.

The 'Add document' window will open. Drag file, or click and add the document to upload. Click SAVE.

3.) Added from an email attachment, using the Outlook Add-In:

NOTE: This IS NOT the 'Scan Purchase Invoice' function. Search via the add-in, for the Billing Proposal reference, and manually ADD the option Invoice.

Rate Cards: Improving price updates.

The option to select how many decimal places to use for the rounding when increasing or decreasing prices, by a percentage has now been added. This allows greater flexibility over the granularity of the cost.

Invoices: Moving charges to a new Invoice made easy.

Moving charges to a new invoice just got easier! With a new option available in the drop down menu, it is no longer necessary to first create the invoice you want to move the charges to. Simply select the charge lines you want to move to a new invoice and select the 'Create new invoice' option. The charges will move to a new Draft invoice and can be generated to an Invoice.

CO2 Calculations on orders and trips available

CO2 emissions can now be seen at the order and trip level (when using PTV routing only). Well-To-Wheel(WTW) format is shown in the Route summary and above the map.

WTW calculation = Well to Tank (WTT) + Tank to Wheel (TTW): Hover for tip to show calculations.

The calculation is based on the vehicle profile selected for routing; in an Order, it will use the default vehicle profile assigned to the transport service. Once the order is assigned to a specific asset the Trip may show different calculations if the assigned resource is larger (or smaller) than the default used.

In the example below, orders are based on Rigid, while the Resource allocated is a Tractor with trailer:

The route is based on the estimated routing and does not represent actual route driven or fuel consumption.

It is possible to create a template report that can be used to export the order emissions.

Menu Navigation: Introducing the New 'Stop Overview Table'.

A new menu option is now available in the main navigation bar. The 'Stop Overview Table' offers better task visibility, custom views, filters, and direct actions for managing stops efficiently in Qargo.

With the time frame selected, the table view displays times, status, resources, location, activity, pallet status, linked documents, question paths, reference numbers, etc. The data is organised in the table by Order number and Trip Number, along with the leg activity. Arranging the visibility in this way gives a clear overview of the tasks allocated to the leg activity, ie: a POD required at a Delivery leg; and gives visibility of any outstanding tasks.


Menu Navigation: RATES added as a NEW single tab

The RATES menu item has been moved out of Configuration as a submenu, and added to the main menu bar as a new Menu tab.

When selected, there is a submenu displayed, which includes:

  • Order Input

  • Rate Card Customers

  • Cost Calculation Trip

  • Charge Templates

  • Chargeable Weight Conversion

These options were already in place under the Rates, and there is no change to the existing functions, it is only their locations in the menus that has updated.


Customer Portal: Show consignment status in portal.

The Qargo Customer Portal has been updated to improve visibility of the status for customer orders. There is a new 'Execution Status' column which will display the status of the most recent consignment on the trip.

Introducing the Execution Status allows better clarity of the latest consignment status and is easier for the user to understand where in the process an order might be. Where an order might previously have shown simply 'In Transit', customers using the portal can now see a label for where in the trip this is (ie: 'Route to delivery'); without having to rely solely on the route icons. If an order is completed, it is easier to identify those that are delivered and waiting invoicing vs those which have already been invoiced.


Planning: Improvement to Resource Availability Overviews

We launched the Resource availability view, which you can find under planning tab. This view gives you an easy overview of:

  • Unavailabilities of resources: you can see when drivers/vehicles are not available due to holidays, repairs etc.

  • Temporary resource combinations: you can read more in the section below.

You can set a time frame to look at as either 1 month or a Date range, which allows you to select a shorter period of time.

This new view makes it easy to create temporary resource combinations on the fly, allowing you to combine resources in the planning screen with improved visibility of availability.

Example Eliza: She is not in a fixed resource combination, but he has been added to a temporary one (VAN) from 28th to 30th January. And on 31st of January she is driving around with in a truck.


Email Intelligence: Document matching via Outlook Add-in.

We’ve enhanced the Qargo Outlook add-in to streamline invoice and POD uploads, saving you time and reducing manual steps!

Key Updates:

  • Create Purchase Invoices directly from Outlook—select the invoice and attach PODs in one step.

  • Upload PODs with Ease—choose multiple PDFs and match them to orders, just like in the Qargo app.

  • Seamless Order Linking—invoices and PODs are automatically matched to consignments for better visibility.
