How to log in as a new user

Q. I have been added as a new Qargo user. How do I log in? I received an email, but the link doesn't seem to work.

A. When a new user is added to your Qargo account, an email is sent to the email address of that user. The subject line is Reset your password for Qargo.

‼️

  • The link is only valid for 1 hour from when it was sent.

  • Links can only be used once.

  1. Click the link in the email.

  2. A reset password window displays.

  3. Create your password and click SAVE.

  4. A confirmation message displays.

  5. Go to the main login page: app.qargo.com/login.

Automatic sign out (Super Admins)

Important: This feature only affects users who can access the Qargo web app. It does not apply to users of the Customer Portal or Subcontractor Portal.

Q. For system security, I want to set a limit for how long users can stay logged in. Can I force users to log back in after a certain amount of time?

A. Yes! It is possible to configure a maximum session duration in your account. As a Super Admin user, you are able to configure organisation settings to include a session duration threshold. This simply means there is a maximum number of days users are able to stay logged into the platform, before the system will automatically log out the user. When the user next loads the Qargo platform, they will be redirected to the main login screen.

Configuration

  1. Go to CONFIGURATION > Organisation Settings.

  2. In the General info section, find the field Maximum session duration.

  3. Enter the maximum number of days users can remain logged in.

  4. Click SAVE.

How it works

  • After you save, users have that number of days before they are logged out.

  • The system calculates this from the user's last logged in time.

  • Once the maximum is exceeded, the user is logged out and redirected to the main login screen.

  • The user logs in with their preferred method (email and password, or secure link).

📚 Only Super Admin users can set this.

  • Logging out the user does not force a password change. All previous login credentials stay the same.

  • Logging out the user does not change or remove custom saved views (orders, stops, trips) the user created, as long as they were saved in the system.

Troubleshooting

Link expired or already used

Symptom: A warning displays that the link has expired or has been used. The initial email link is valid for 1 hour and a single use only.

  1. Go to the main login page: app.qargo.com/login.

  2. Enter your email and click NEXT.

  3. Select the login method Email and password.

  4. The email field is pre-filled and cannot be changed.

  5. Click Forgot your password.

Stuck on "Initialising"

Symptom: The user has entered their email, but the screen only shows "Initialising" and the login does not complete. This typically happens when too many sessions are active.

  1. Go to https://app.qargo.com/logout. This closes all active sessions.

  2. Log in again via app.qargo.com/login.

This should resolve the issue.

Other session or login errors

  • Restart your browser or app: fully close and reopen your web browser or mobile app for a fresh session, then try again.

  • Force logout and re-login: clear stuck sessions by visiting the Qargo logout URL (http://app.qargo.com/logout), then log in again. These steps resolve most session-related login errors.

Mobile app: unable to log in

Symptom: An error directs the user to contact support.

  1. Verify the email used is the same as the email on the resource profile.

  2. Confirm the email format is correct. Check for any punctuation that needs to be included.

  3. Once validated, click the Reset Password button to generate a new email link.

Mobile app: Reset Password button not available on the resource profile

  1. Remove the email address from the resource.

  2. Toggle Mobile access off and save the profile.

  3. Toggle Mobile access back on, re-add the email, and save.

This should re-enable the Reset Password button.
