INTRODUCTION

When adding new users in Qargo they are assigned to a Role. These roles will dictate what functionality the user has access to, and what is available for viewing only. In some instance, visibility of menu items or features is completely restricted based on these roles.

Each user role will have core features and functions available as a default. This gives the user a pre-determined access level; for instance, restricting visibility of financial information for users that do not have any need to review or update this data. If a user assigned to a role does need to have visibility of a particular tab or function not included within the default role; there may be an option to enable it under the user setting menu.

USER ROLES AND PERMISSIONS

When adding a new user to the tenant, the standard user roles are:

  • Super admin

  • Admin

  • Sales

  • Operations

  • Invoice + Credit Note

  • Invoice Only

  • Fleet

  • Planning

  • Planning without finance

  • Order

  • Order without finance

  • Warehouse Operator

'Add user' incorporates roles with default permissions, that can be assigned when adding the new user.

Permission to view.

If a user requires visibility of data, that is not displayed as part of their standard user role, it may be possible to provide access via the User Setting permission. By checking the box, tabs and Functions can be enabled as READ ONLY.

Not all tab/functions will be available in each role. If the required option is not displayed, this option is not available in the assigned user role.

Permission flags are not intended to be used to 'configure' a user role. They provide Read Access Only to pre-determined tabs/functions based on the user role assigned.

Adding / Creating new users in your tenant.

You will need to add users to your account. To do this go to the CONFIGURATION>Organisation Settings tabs.

Click 'Add User' and enter the user email and select the appropriate role from the drop down menu. Enter a description for the user role if appropriate, Click SAVE.

Tip: Avoid using group emails for individual users, emails can only be used for a single profile. If the email has been used before, you will get an error message.

Once the user has been added, they will receive an email with a link to set a password.

When logging in, the user will have the option to use the saved password, or via a Login Link:

The user will receive an email, click the 'Sign in to Qargo' link.

TROUBLE SHOOTING:

If using an old emailed link, the user may receive this error. Please verify they are using the most recent email link and re-attempt to log in.

Multi-Factor Authentication (MFA)

If required, users can set up Multi-Factor Authentication (MFA). This is optional and users are not currently required to complete this.

Click the arrow to the right to start the setup process for MFA.

For security, this process requires a recent login, the user may receive a prompt to log out and back in again to start the process. If the user has recently logged in they will be directed straight to the next step, to use the QR code.

The user will receive a notification once the setup is completed successfully.

Once this has been set on the user profile, you will need to contact Qargo Support should you need to remove this for any reason.
