FAQ - How does the QZ printer function work in Qargo?

Qargo now supports direct printing! Configure local printers, set different printers for document types, print from lists/orders.

Q: Can I print documents directly from Qargo? Every time I need to print a document, it will download to my computer and I have to print from there. Is it possible to print directly from the platform?

A: Printing directly from the Qargo platform is possible! This feature allows for local printers to be configured within the Qargo Platform. Multiple printers can be added, and it is possible to set different printers for different document types.

For instance, if there is a local printer in the accounts office, it can be configured for documents that need to be printed for accounts. Whereas, documents required for the planning office can be set to print on the local printer to that office. Specifying local printers for the individual documents ensure convenience and efficiency for users - no more having to track down printed documents across the business!

Click 'Allow' when prompted — this is a one-time step.


Configuration

📚 Configuration of printers is at the user level, allowing users to set the printer most convenient for their needs.

  • Regularly check printer’s status to ensure it is online and properly connected

  • Update printer drivers to the latest version to avoid compatibility issues.

Step 1: Download & Install QZ Tray

  • QZ Tray is an application used to print from web browsers to local printers, and is required to configure printing in Qargo.

Step 2: Add printer configuration

  • Navigate to CONFIGURATION > ‘Printer Configuration’

  • Allow access to connect Qargo with QZ Tray in the pop-up.

    • Click ‘Remember this decision’ and click ‘Allow’

Step 3: Add / Modify Printers

  • REQUIRED - Edit the default printer, click the Edit Icon to open the configuration screen.

  • From the 'Printer' field, select a printer as default.

  • Modify default number of copies printed and printing properties (colour / grey scale) to suit preference.

  • Click SAVE.

  • To Add and configure a printer for specific documents, Click ‘Add printer configuration’

  • Select a local printer for a specific document or set of documents.

    • From 'Document type overrides' select the documents associated to the specified printer. Multiple document types can be selected.

💡 ProTip:

If multiple copies of a specific document are always required, configure a specific profile which includes the number of copies needed. When this document is selected to print, it will automatically print the specified number of copies.

Remove printer configuration

  • A ‘remove all printer configurations’ button has been added to allow users to reset the printer configurations.

‼️ Using this function will remove ALL configured printers.


Printing documents

Auto-printing

If your workflow requires specific documents, such as labels or consignment notes, to be printed immediately after an order is created, you can configure automatic printing.

  1. Navigate to Printer Configuration:

    • Go to Settings

    • Select Printer Configuration

  2. Locate the Auto-Print Section:

    • Scroll down the Printer Settings page until you find the new section titled "Auto-Print Documents after Order Creation"

  3. Add Document Types:

    • In this new section, you will see an option to add document types. Click the Add Document button (or similar).

    • A list of available document types that meet the auto-completion prerequisite will appear.

    • Select the specific Document Type(s) you want to be printed automatically.

    • Repeat this step for every document you wish to auto-print.

Manual printing

  • From various LIST VIEW pages, select the ‘PRINT’ option and the document types to print (already existed)

  • Instead of only downloading the documents selected, users can specify if they want to download or print directly to the configured printers.

  • A quick action on the order list page to print the task documents is now available:

📚 If no printer is configured printer icon will not appear, and it will show the skip task icon instead.

  • In order details, a new print icon has been added. When using the print button, the document will immediately be printed.

    • When using the execute task button, the document will only be downloaded.

📚 If no printer is configured in the printer configuration, this printer icon will not appear.

  • Once the task has been executed and the user tries to re-trigger it there are 2 options:

    • Re-trigger: the document will simply be generated again and downloaded without printing.

    • Re-trigger + print: the document will be regenerated and re-printed.


Troubleshooting

To reset permission if you inadvertently clicked away the message. Use the filter icon and reset the permissions.

If you’re having trouble printing documents, there are a few things you can check to resolve the issue:

  1. Do you have the QZ client installed?

  2. Is the QZ client running?

    1. Make sure to have it selected so it starts on startup of your computer.

  3. Did you allow Qargo to connect to QZ?

    1. Is there a setting set to permanently 'block'?

      1. You can undo the block by going into clicking the QZ menu bar icon → advanced → site manager and removing the Qargo entry

  4. Are you using Chrome 147 or newer? From Chrome version 147 onwards, Chrome shows an additional security popup the first time Qargo tries to connect to QZ Tray. If you see this popup, click 'Allow' to grant permission. This only needs to be done once — after allowing it, printing will work as normal.

  5. Is your printer online?

    1. Qargo does not track printing statuses. You can check if your printer is online by opening the print queue on your computer:

  6. Do you have the printer you want to add to Qargo added to your OS? In order to add a printer to Qargo, it needs to be registered by the OS

  7. Is the default printer configured and specified?

    1. After downloading and install QZ Tray, Step 3 of the configuration, to EDIT the default printer is required.

      1. From the Configuration > Documents> Printer Configuration go to the 'Printer Configurations' panel and if no printer is showing, click the Edit icon and add the printer from the dropdown. Click SAVE.


Troubleshooting QZ Tray Connection Issues in Qargo for Label Printing

QZ Tray is essential for enabling label printing in Qargo. However, users may encounter issues such as "no printers available," "could not connect to QZ Tray," or repeated prompts to install QZ Tray. This guide provides a comprehensive troubleshooting approach to resolve these problems.

Common Causes of QZ Tray Connection Issues

  1. Browser Permissions: Chrome or other browsers may block QZ Tray due to denied permissions.

  2. QZ Tray Configuration: Incorrect settings in QZ Tray, such as blocked entries, can prevent connection.

  3. Printer Configuration: Qargo may not detect printers if they are not properly set up in the operating system.

  4. Environment Blockers: VPNs, remote desktops, or security tools may interfere with QZ Tray.

Step-by-Step Troubleshooting Guide

1. Check Browser Permissions

  • Chrome Permissions: - Open Chrome and navigate to chrome://settings/content/localNetwork. - Remove any blocked entries related to localhost or Qargo. - Reload Qargo and attempt to print. - When prompted, allow the one-time popup for local network access and check "Remember this decision."

  • Reset Site Permissions: - Click the lock icon in the browser's address bar. - Reset site permissions for Qargo. - Refresh the page and retry printing. Allow any popups that appear.

2. Verify QZ Tray is Running

  • On Windows, check the system tray (bottom-right corner). If QZ Tray is not running, open it from the Start menu.

  • Ensure Qargo is allowed in QZ Tray: - Go to QZ Tray → Advanced → Site Manager. - Remove any Qargo entries that are Blocked/Denied or delete old entries. - Retry printing and, when prompted, click Allow and select "Remember this decision."

3. Refresh Printer Configuration in Qargo

  • Navigate to Qargo → Configuration → Documents → Printer configuration.

  • Click "Refresh printers."

  • Edit the Default printer configuration, choose your printer from the dropdown, and Save.

  • Perform a hard refresh of the page (e.g., Ctrl+F5 on Windows) if needed.

4. Verify Printer Setup in Windows

  • Open Windows Settings → Bluetooth & devices → Printers & scanners.

  • Ensure at least one printer exists and can print a Windows test page.

  • If needed, add a printer (even a virtual one like "Microsoft Print to PDF").

5. Restart the QZ Tray and Qargo Connection

  • Close all Qargo tabs.

  • Quit QZ Tray (right-click the QZ icon → Exit).

  • Restart QZ Tray and reopen Qargo.

  • Go to Printer configuration, click "Refresh printers," and Allow any prompts.

6. Address Environment Blockers

  • If using remote/virtual desktops (e.g., RDP, AVD, Citrix), ensure printers are installed/redirected in that environment.

  • Temporarily disable VPN/security tools and ensure local loopback connections for the browser and QZ Tray are permitted.

Additional Notes

  • If Chrome blocks the connection between Qargo and QZ Tray due to a previously denied permission pop-up, Qargo will show "no printers available." Ensure to allow the connection when prompted.

By following these steps, you should be able to resolve most QZ Tray connection issues and enable seamless label printing in Qargo.
