ORDERS - Status explained

The status of an order will change based on the tasks that have already happened for that order. You will find the status of the order next to the order number.

Quote

  • An order has been created but the task 'Send to planning' has not yet been executed.

  • Often used if a customer asks for a price but has not yet confirmed the order; or if waiting for confirmation prior to scheduling.

To convert a quote into an order, follow these steps:

  1. Navigate to the Quote page in Qargo.

  2. Locate and click on the Send to planning task button.

  3. Once the Send to planning task is completed, the quote will be converted into an order and will appear under shipments to be planned.

To plan

  • An order has this status when the 'Send to planning' task is done.

  • Appears on the list overview with orange colour and ready to be planned with resources.

📚 When a quote is converted into an order, it will automatically appear under the shipments to be planned section, ready for further planning and resource allocation.

Planned

  • When resources are assigned to order status changes to planned.

  • If there are multiple consignments on an order, the order status will not change until all consignments have the Order status planned.

In Transit

  • Status updates once the driver or planner updates to indicate 1st stop is completed and the goods are 'In Transit'.

    • If an order has only one consignment, or all consignments have the same collection stop, updates as soon as the first stop is completed.

    • If an order has multiple consignments, the order will only change to "In Transit" when all collection stops of the consignments have been completed.

Example:

Four consignments on an order and only three of those have been collected, the order will remain "Planned" until the last one also has been collected. This is intentional, to make sure no consignments are overlooked.


If you see a green dot during Transit, this indicates that one part of a consignment has been loaded, while the other hasn't yet.

Delivered

  • When all stops are completed on your order, the status will change to “Delivered”.

  • Delivered status can be reached in several ways:

    • By setting all tasks to Completed separately

    • Via complete trip times button.

    • Complete without scheduling.

      • This is a button that can be found in the order. This way the order cannot be scheduled, and is immediately set to completed.

Ready to invoice

  • You must perform the Ready to invoice task to move the order to the “Ready to invoice” status.

  • When the task to send the order to invoicing is triggered, you will see the status "Ready to invoice".

Draft invoice / Invoice / Do not invoice

The finance department can either decide to:

  • create a draft invoice

  • create an invoice

  • not invoice

Based on the selected option, the status will change accordingly.

Invoice Posted

  • When the task to send the invoice to your bookkeeping software is triggered, the status of that invoice will change to "Invoice posted"

  • Once an invoice is Posted no further updates or changes can be made to the data.

Next to the above statuses, you also have the statuses "Cancelled" and "Template". These statuses are not shown in the dropdown menu when you filter on a status in the order list page.

Cancelled

  • Will not be invoiced and scheduled.

  • cancel an order on the order screen; order must be in one of the following status:

    • Quote

    • To plan

    • Planned

Template

  • This order serves to create other orders quickly. This order cannot be invoiced or scheduled.

  • You can find this under Orders > Templates.
