ORDERS - Orders List View Functions

Explanation of features and how to customise the Order List page, including additional filtering tips.

Customise the shown columns

It is possible to customise how you see the orders and order details in a list view.

  • Navigate to ORDERS > Orders

  • Click on 'Customise' icon

When clicked, a side panel will open on the left side of the screen.

  • Select the order details you like to see in the order list page.

  • Use the Search filter to quickly search for specific data

  • You can only filter by values that are available in the Columns portion of the customisation panel.

    • Ex. You can sort and filter by Customer, but you cannot sort by Weight as that is available only under Cargo.

  • Drag and drop the column headers to change the order of the columns.

📚 To quickly view cargo data details on an order, hover over the cargo field. A tooltip is displayed with details of the cargo as a line per consignment.

Consignment details are displayed including:

  • Quantity

  • Packaging type

  • Weight

  • Volume

  • Length

  • Width

  • Height

  • Pallet spaces

  • Loading metres

Show stop fields as columns in the Orders list

  • Add columns to the Orders list that display information from individual stops — such as stop references, delivery notes, or any stop-level custom field your team has configured.

How to enable stop field columns

  1. In the Orders list, click the Customise button (the sliders icon at the top left of the list).

  2. The Customise panel opens. Scroll down to the Stop additional fields section.

  3. Toggle on any stop field you want to see as a column. Each toggled field appears as a new column in the Orders list.

How values are displayed

When an order has multiple stops, values from all stops are combined in a single cell, separated by |

  • Multiple stops with a value — each value is prefixed with the stop activity name so you know which stop it belongs to.

Example:

🧰 Stop field columns are read-only in the Orders list.

  • To edit a stop field value, open the order and navigate to the individual stop.


Save custom view columns

When a user creates a custom view, users can now modify the columns that are included in the view without affecting other views.

  • Create the custom view - Click + View.

    • Give the view a name and click 'Create view'

  • Click 'Edit Columns' in the new view and toggle on/off relevant columns

  • Click 'Save Changes'

‼️ This functionality applies to Custom Views Only ‼️

Editing columns in one of the generic views will update the column across all the standard views.


Order overview - add stop duration column

You can display the stop durations for trips, showing all collection and delivery. This feature is enabled by default (but can be turned off in the EDIT COLUMNS panel), and will improve visibility of waiting hours on trips.

The individual wait times are shown by Collection / Delivery stops. These will pull from the order details and the actual times when the load completes. The total times are consolidated and shown in the line below the stop times.

Order List view - Show last order.

Click on the order line (not the order number) will open the order in a detail view. Once this is closed, the page will show the last order clicked highlighted.

Orders: Add Trip ID column to list view

Enable 'TRIPS' to show as a column, in the Orders and Orders to Invoice List view. Adding this column to the table will show the trip number, allowing easier access to details without having to navigate through other screens.

  • From Orders or Orders to Invoice (Invoice), click 'Edit Columns'

  • Once toggled on, drag the column to the desired position on the table.

Trip IDs will show on orders once in a PLANNED status. Click on the Trip ID to access the Trip Detail View.


Orders - show max dimensions

  • Toggle on max dimensions to help with planning vehicle capacity

  • Better oversight of piece sizes helps to assess capacity of vehicles more efficiently

📚 Use the filter search at the top of the 'Customise' features to find the option quickly.


Select Date Range Option

The following options are available to filter on:

  • Date: to filter on one specific date. By default this will filter on the current date.

  • Last 90 days + future: this filter on all orders

  • Date range: This allows the use to easily select a date range on a calendar . When selecting the date range filtering, two options are available to chose from

For convenience, when filtering based on a date range, there are some pre-configured date ranges to allow easy filtering. When selecting one of these options, the dates will automatically be selected:

Users can also select any date range, selecting a start / end date on the calendar.

Date ranges are limited to a 1 year date range.

  • For Orders the filter is on REQUESTED DATE.

  • For Trips the filter is on ACTUAL DATE.

Troubleshooting Date Filters

If orders are not showing as expected, ensure the correct date filter type (Requested Date or Actual Date) aligns with your workflow. For example, billing customers on load dates requires filtering via Requested Date. Adjust your settings accordingly to capture all relevant orders. Ensure the Requested Date field is activated in your view settings before applying the filter. Select the Requested Date option from the date filter dropdown and specify the desired date range for filtering. Distinguish between the Requested Date, which is customer-focused, and the Actual Date, representing execution dates.


Filter data

When hovering over the column header, where a 'funnel' icon is displayed, filter options are available. You can filter data in the order list page by using the filter icon in the header of the table.

  • Click on the filter icon.

  • Select the data you would like to filter.

  • Close the modal.

The filter will be saved. The next time you navigate to the order list page, you will see the same view. Filter options can include:

  • Customer

  • Dates / times

  • Groups

  • Locations

    • Option to select map coordinates and filter based on selected region.

📚 Expand the map view when filtering by coordinates to open large map view of selected area.

You can also filter on the status when clicking on the standard available filters:

  • All

  • Blocked

  • To plan

  • Planned

  • In transit

  • Delivered

  • Cancelled

  • View (Custom)

TIP: Some filter options only allow 1 data point to be entered, ie: IS / IS NOT, whereas ONE OF will allow multiple options to be selected. See the example below.

When searching on the STATUS, it will only allow you to enter 1 value, using the 'is not' statement. If you want individual views, this would be correct.

If you want to consolidate all the pending tasks to 1 view, use the status filter 'one of' instead.


Sort columns

The order list view supports sorting on some of the columns, to help prioritise and organise the view.

  • To sort by a column, click the column header.

  • An arrow indicator will appear showing the current sort direction (ascending or descending).

  • Click again to reverse the sort order.

Sortable columns

Sorting is available on columns that contain structured, comparable data. Typical examples include, but are not limited to:

  • Order number (ID)

  • Customer

  • Consignment execution Status

  • Order start date

  • Department

  • Network

📚 If a column header responds with an arrow indicator on click, it is sortable. If no arrow appears, that column does not support sorting.

Cargo data and weight — display only

Cargo details — including weight, volume, loading metres, pallet spaces, and dimensions — are displayed in the orders list as summary data only.

  • Hovering over the Cargo column on an order row reveals a tooltip with the full breakdown per consignment line.

‼️ Sorting and filtering by weight (or other cargo values) is not available in the orders list view. The cargo column cannot be used as a sort or filter key.


Best Practices for Managing Filters

  • Regularly review filter configurations to ensure alignment with operational goals.

  • Differentiate between Actual Date and Requested Date filters and understand their use cases.

  • Stay informed on updates from Qargo to leverage enhanced functionalities and address potential issues with filters.

🚨 Custom column views - both the order and size - are retained by your browser. If you delete your cookies or have opted to configure your browser to never store cookies in the first place, the views won't be saved and will be reset to the default the next time you use Qargo.
