How Do Changes to Qargo Rate Cards and Related Settings Affect Orders and Pricing?

Understanding how rate card adjustments and related configuration settings work in Qargo is critical for managing job pricing accurately. This article covers changes to rate cards, their effect on existing and future orders, retroactive adjustments, and options for altering settings when system limitations apply.

Overview of Card Rates

Rate cards allow businesses to manage pricing structures within Qargo. Users can update data such as price lists and configuration settings. However, changes to these settings can have varying effects depending on their nature and timing, as detailed below.

Management of Existing Orders: Changes and Implications

If you update a rate card or price list in Qargo, these changes do not automatically apply to jobs already created. The system functions to ensure consistency for pre-existing orders. However, after an update, Qargo may notify you that a more suitable price list is detected. You can manually switch an existing order to the updated price list if it belongs to the same transport service as the original price list.

Future Order Pricing Rules

Changes made to diesel surcharge configurations and other specifications tied to customer price lists will apply to all future orders. Notably, the system also recalculates previous month’s charges retroactively for that price list to ensure fairness and accuracy.

Changing Calculation Settings

Once a price list charge is established with its respective calculation setting (e.g., 'calculate charge per order'), this setting cannot be altered directly. If you need to make adjustments to this functionality, create a new charge with the desired setting. Then, adjust the validity of the old charge to terminate just prior to the activation of the new one. This ensures a seamless transition without affecting order accuracy.

Retroactive vs. Forward-Looking Changes

  • Retroactive Changes: Applicable only under specific configurations (e.g., diesel surcharge updates that adjust one month backward for consistency).

  • Forward-Looking Changes: Most changes, such as price list updates or rate card modifications, apply only to new orders unless manually applied to existing ones within the same transport service.
