Using the 'planning flow suggestion' feature optimises order combinations based on vehicle capacity and location. This feature helps with challenges like high order volumes and resource compatibility to improve efficiency and reduce operational costs.
The planning flow provides suggestions based on the available capacity in vehicles and planned locations. The suggestions are exposed in two directions:
Planning → to plan: From a planned trip, open the stop actions button. Use the ‘Find nearby’ function and choose either collect or delivery within one of the given distances.
This will create a temporary view on your to plan table that combines your existing filters with an additional filter containing:
The distance from the location you selected
The current available capacity in your truck (if applicable)
An explanation of the applied filter is shown in the temporary view’s name:
To plan → planning: From the order list, select 1 row in the 'To plan' table, then click on the ‘Find nearby trips’ dropdown. Filter your planning view on a given distance from the collect or delivery location of the selected to plan order. Trips that match will show and the order can be added.

Filtering Find nearby trips by remaining loading capacity and by distance
Two additions extend the 'Find nearby trips' flow (To plan → planning direction).
Only trips with loading capacity toggle
‼️ Before you use this toggle, set up your capacity data:
On your vehicles and trailers, enter how much they can carry — loading metres, pallet spaces or weight.
On your orders, enter how much space each one takes up.
If this information is missing, Qargo assumes every trip still has room, and turning the toggle on or off makes no difference.
Selecting an order and opening the 'Find nearby trips' dropdown now shows an 'Only trips with loading capacity' toggle, switched on by default.
SELECT an order in the To plan: Orders table.
OPEN the 'Find nearby trips' dropdown and choose 'Find nearby to collect' or 'Find nearby to deliver'
CHOOSE one of the preset distances (5, 10, 20 or 50 km, or the mile equivalent).
With the toggle on (default), only trips whose nearby stop still has room show in the results.
SWITCH the toggle off to see every trip within the chosen radius again, regardless of remaining capacity.
📚 A trip qualifies as "having capacity" when the nearby stop still has room on every capacity metric that is filled in for it: loading metres, pallet spaces and weight. A metric left blank is ignored, so trips on vehicles without capacity data configured still appear in the results.
📚 "Find Nearby stop"
Right-click on the Planning or Pre-planning board to find this option. It always checks whether the vehicle still has room — you can't switch that off.
It only checks loading metres and weight, not pallet spaces. If neither is filled in on the vehicle, it won't check capacity at all.
Distance column filter
The To plan: Orders view can now be filtered on the Distance column once a 'Find nearby' search is active, narrowing the results further inside the chosen radius, for example down to the closest 2 km within a 5 km search.
TRIGGER a Find nearby search from either direction (right-click Find Nearby, or the Find nearby trips dropdown).
FILTER the Distance column header in the To plan: Orders table to the desired range.
📚 About distances
The Find nearby presets look for trips inside a square area around your reference point. The Distance column (and its filter) shows the distance as the crow flies.
Neither takes actual roads into account. And because the search area is square rather than round, a trip may show a distance slightly higher than the preset you picked.
