4. Create & Link Orders from emails and attachments

Link and create orders without the need to manually key in data, increasing efficiency and reducing data entry risk. Mailbox must be linked.

Once your mailbox is linked and the Qargo Add-in for Outlook has been added, you can begin to seamlessly integrate your order communication direct from your mailbox.

If you do not have the Qargo add-in, go to this link and click 'Get it now'. Please contact your internal Super Admin user to assist with any additional email setup that you may need.

Create New Order

If an email is not yet linked to any order, a new “Actions” section will appear at the top of the Qargo pane, with the available action “Create new order” or "Create qoute".


Clicking this action will open a new Qargo window in which the email is preloaded to be scanned. This works in the same way we already support with the drag-and-drop function. Enter the order using your existing process from this point.

Once the order is created it will be linked to the email. In the Qargo Pane, you will see the email details under General Info. You can update the email type by clicking the Pencil icon. The order information will show in the Linked Order section.


Linking an order

If you have created an order from the email it will automatically create the link. The Linked Order information will include Order number, order status, customer name, collection and delivery information. Clicking on OPEN will take you directly to the order in Qargo.

If you receive an email for an order that is already in Qargo, you are able to link this by searching for the order number under 'Linked Order'. Once you find the order Click +ADD to link.

This will now link the email to the order so any subsequent emails, both incoming and outgoing, will be associated to the order.

The emails are visible directly in the order in Qargo. The number (x) next to the Email communication will show how many emails have been received in that email chain.

TIPS:

Unlink email thread

It is possible to unlink the emails from an order. Click the 3 vertical dots and 'Unlink from email'. The thread will remain visible in the order, but unlinking will prevent any further email communications from being added.


Delete email thread

If an email thread has been incorrectly associated to an order it is possible to delete the entire email thread that was linked to Qargo via the Outlook Add-in.

  • From Qargo, click the 3 dot menu in the Email Communication panel.

  • Select 'Delete'.

  • Click YES to complete the delete process.

This IS NOT the same as unlinking an order from a thread. Deleting the email thread will remove it from the system entirely for ALL items linked to the messages, ie orders, shipments, invoices, etc.

Only use the DELETE option if you intend to remove ALL email communication.


Where's my email?

It may take a moment for the email to be received in Qargo, and you will see the highlighted message as the email is processed.
