RATE CARD - General surcharges

This article discuss how to configure general surcharges to add to orders, automatically in some instances.

Configure surcharges to automatically add on orders; for instance toll, waiting hours etc. This includes the ability to configure charges to apply automatically to all orders or to be added manually with specific calculations.

  • Navigate to RATES> Order input

  • Click on 'General surcharges'

Add a new Surcharge

  • Click 'New general surcharge' and give the new charge a name.

📚 Adding the VAT and nominal codes will assist in efficient imports to accounting packages.

Adding conditions

In the event that a specific set of criteria must be in place to trigger a surcharge, this can be configured using conditions on the charge calculation.

  • If the calculation should apply automatically ensure the 'Always add to order' is toggled ON.

  • Use the 'Invoice process' option to 'only invoice if price >0' to only show when there is a charge applied.

  • Add the surcharge calculation, in the example shown it will be a % applied to the transport charge

  • Select the conditions to apply to the charge; in the example shown it is based on the Max unit width OR length being larger than specified. Note that the "Always add to order" setting is only available for General surcharges or Index charges in rate cards. It cannot be enabled for manual charges or cost calculations. If you want a charge to be automatically added to orders, you must configure it as a General surcharge or an Index charge and enable the "Always add to order" option there. For manual charges with pre-calculated values, you can configure them in the Price Calculation section by selecting Add CalculationPercentage of ChargesTransport Charge and setting the desired percentage.

These conditions can be applied across all pricing methods, including:

  • Fixed cost per order

  • Formula-based pricing

  • Other advanced calculation methods

This gives you flexibility to model surcharges such as oversize fees, handling charges, or special equipment requirements. Use the "Always add to order" setting for charges that should consistently apply to all orders, such as standard fuel surcharges or index-based adjustments. Opt for manual application with pre-calculation for charges that need to be added selectively but still require pre-calculated values, such as specific customer discounts or adjustments.


Add Surcharge and link to price list.

‼️ Always link the general surcharge to a price list. They need to be 'active' on a transport services before the costs are added.
