There are multiple pages available in the Planning module that allow clear visualisation of resource availability, allowing planning decisions to be made quickly and efficiently.
Resource Availability Overview
The 'Resource Availability' view is available under PLANNING tab:
This view gives you an easy overview of:
Unavailabilities of resources: you can see when drivers/vehicles are not available due to holidays, repairs etc.
Temporary resource combinations: Easily create combinations that will be used for a specific period of time:
You can look at a period of:
1 month: you can use the arrows to easily move between months
Date range: you can also select a shorter period by using the date range functionality
Trailer / Container Availability
The resource board reflects real-time availability for trailers and containers. As soon as a trip is marked as completed, the linked trailer or container is immediately shown as Available — no need to wait until the end of the day.
How availability status works
Trailers and containers displayed on the planning resource board show one of the following statuses:
Status | Meaning |
Available | The resource is free and can be assigned to a new trip |
In use | The resource is assigned to an active (not yet completed) trip |
Parked | The resource is parked and not currently in active use |
Status update on trip completion
Previously, a trailer or container stayed marked as In use or Parked for the rest of the day, even after its trip was completed. This made it unclear whether a resource was actually free for re-assignment.
Now, the availability status updates immediately when a trip is completed:
As soon as a trip is marked as completed — via the driver app or manually by a planner — the linked trailer or container switches to Available on the resource board
Planners can re-assign the resource to a new trip right away
Temporary resource combinations
In Qargo, we have the concept of combinations which basically means drivers/vehicles that are operating together. You have:
Fixed combinations: these are configured on the resource configuration and that means that those resources are always together on the planning board. See this help article for more information.
Temporary combinations: these are combinations for a limited period of time e.g. a day, a week etc. You could already make these temporary combinations but you didn’t have a good overview of which temporary combination was active for which days. This has now been solved by the resource availability view.
Example - Eliza: She is not in a fixed resource combination, but he has been added to a temporary one (VAN) from 28th to 30th January. And on 31st of January she is driving around with in a truck.
There are 2 ways to create a temporary resource combination:
Resource availabilities view: Click on the + icon and select create temporary combination. Enter the:
Timeline/block planning view: If you drag a resource from the to plan resources to a resource on the planning, then it will automatically create a temporary resource combination for the dates that you have selected. This is a lot faster to do but you can’t change the resource group or edit the duration of the temporary combination.
Availability Visibility
To view Resources in the planning view (see more details in 👉Customise planning view) the Availability will be shown depending on the date range that has been selected in the planning table.
The Pre-Planning view (panel to the top of the screen) will show the resources grouped based on Combination, drivers, vehicles, etc. It is now possible to see both Trailers and Containers in this view.
The column 'AVAILABLE?' will show the current status of the resource. The 'Next Unavailability' column will show any current or upcoming Unavailabilities. This gives users a clear view of what the resource availability is both currently, and if there is anything that could impact any upcoming planning.
There are 3 status options available:
Available - Indicated by a check mark. Resource is available for planning.
Unavailable - Indicated by X. Resource is unavailable for planning due to a specific Unavailability that has been entered, ie: holiday, maintenance.
In Use / Parked: Resource is already In Use OR Parked (Trailer / Container) or End of Day (Driver). The resource is unavailable.
It is possible to filter on this column by selecting any of the statuses. It is also possible to select more than one status.
Trailers / Containers View:
The 'Available' column will also show in the Planning Table when looking at planning for both Trailers and Containers:
Unavailabilities in the Blocks View
Resource unavailabilities (holidays, sick days, shift schedule absences, and notes) are now always visible in the Blocks planning view, even when trips are already assigned to the same resource row. This keeps planners fully informed of scheduling constraints without the need to switch to the Timeline view.

How unavailabilities are displayed
Unavailability indicators appear directly on the resource row in Blocks view in all of the following states:
Empty row: unavailability shown on its own, with a drop zone available for assigning a new shipment
Row with trips assigned: unavailability indicator remains visible alongside the planned trip(s), sorted by start time
Row with trips and multiple unavailabilities: each unavailability retains its own position in the row, sorted by start time, with individual drop zones where applicable
Planning shipments next to unavailabilities
In Blocks view, it is now possible to drag and drop a shipment directly adjacent to an unavailability or a note (provided the unavailability or note has an end date set). The system automatically calculates the shipment start time based on the position of the unavailability.
1. NAVIGATE to the planning board and select Blocks view from the view selector
2. LOCATE the resource row containing the unavailability
3. DRAG the unplanned shipment from the *To Plan* panel and drop it in the drop zone next to the unavailability indicator
4. CONFIRM the trip is planned with the correct start time relative to the unavailability
📚 The drop zone appears on both sides of a block only when an end time has been set. If there's no end time, you'll only see a drop zone on the left. You can still assign trips to a resource even if it's marked as unavailable.
Limitations
Limitation | Description |
Timeline view behaviour unchanged | This improvement applies only to the Blocks view. The Timeline view continues to behave as before. |
'Used on other trip' indicators | Indicators showing that a resource is allocated to a trip in a different planning group may not display in Blocks view if they are rendered through a separate mechanism from standard unavailabilities. |
Notes without an end date | Notes with no end timestamp do not generate a right-hand drop zone, as the system cannot calculate a start time for the adjacent shipment. |
Viewing the resource availability in 👉BI Dashboard
Navigate to DASHBOARD > Resource expiration tab to access the extended list of unavailabilities.
Apply the date range filter - ->click on apply
Click on the apply field also located on the right side of the page
Make selections of category and resource type is applicable and apply the changes:
Scroll up and down to locate the data you would like to view and export the data of the the view you desire to have:
