Customer default order prefill

Introduction

Enhance consistency and efficiency, using a streamlined approach to automatically prefill order forms. Selecting a transport service or a customer can complete predefined fields.

Default settings, such as transport network or vehicle category defaults, can significantly influence order processing by automating selections and potentially overriding manual inputs.

Create order prefills based on:

  • Transport service: Used for all orders under that service, regardless of customer

  • Customer level: Used for orders made by a specific customer.

When selecting a transport service or customer that has a prefill defined, the entire prefill is completed, while not overwriting any user-inputted form fields.

However, these defaults can override manual selections, which may lead to unintended outcomes if not configured correctly.

Impact and Management of Default Settings

Default settings streamline order processing but require careful management to avoid unintended consequences. For instance, transport network defaults can override manual selections, limiting flexibility, while vehicle category defaults may lead to incorrect categorization if misaligned with order requirements.


Configuration

Transport Service order default

  • Navigate to RATES>Order Input

  • From the 'Order options' side menu, select 'Transport service'

  • Select a transport service from the available options, or click '+ Add transport service' to add the service first. ​

  • Click the 'Edit order default values' to add the required data

‼️ Any data value added under the order default value will automatically be included in the order every time the Transport service is used.

Be cautious, as these defaults can sometimes lead to unintended consequences, such as overriding manual inputs or misaligning with specific order requirements.

The 'Edit order default values' will open a page similar to an order entry.

From here the user can select which fields should be prefilled when using the particular transport service.

For example, selecting the option 'Opening Hours' as the Time Window will always apply this to orders using this transport service. This will then look to the location and only use the opening hours that are included in the location profile. Toggle on the 'add time slot' to include a specific start and end time for the stop.


Company order default

To configure it on Company level:

  • Navigate to COMPANIES module

  • Select the 'Customers' Tab

  • Click on the customer profile

2. Scroll down and click "add order default values"

Below is an example of how default values are automatically applied when a related Transport service is selected during order creation.
