DASHBOARDS - Viewing your data.

Dashboards provide data visualisation across revenue, operations, profitability & more. Features filters, export options & clickable links.

Each time you create an order, a trip, an invoice in the platform, there is valuable information entered. The Dashboard module provides an easily accessible overview of that data. From revenue to costs, due date of the invoice to be paid etc.

Navigate to Dashboard

Each dashboard tab provides a comprehensive selection of graphs and tables giving insight into metrics across all aspects of the business. Click on the tabs to see a visualisation of a certain segment. The following segments are available:

  • Revenue

  • Operational

  • Profitability

  • Distance

  • Overdue invoices

  • Resource expiration

  • Resource Validities* (new)

  • Holidays

  • Incidents

  • Accounting

  • Accounting Accrual


Filters

  • Each tab includes a variety of filters that can be used to gain further granularity, including date range, customers or subcontractors.

  • Filters are in the same location across each tab, and will show what is already defined as the default.

  • Click into the filter and adjust to report on specific customer / subcontractor / status, etc.

  • Each set of filters includes a RESET button to quickly and easily set filters back to defaults.

RESET only appears if the filters have been adjusted away from the defaults.

Example:

Revenue default parameters filters on:

  1. Collection date in the LAST 12 MONTHS

  2. Customer is ANY

  3. Order Status is ANY

A.) Use this to RESET filters to the default

  • Click into the field to see available filtering options.

Date Zoom filter:

  • Easily adjust the granularity of date range using the the Date Zoom feature.


Visualisations

  • Each graph or chart includes a roll over function where moving the mouse to a specific data point highlights all the components that match that data in the chart

  • Each graph or table can be exported (csv or image).

  • Click on the 3 dot menu in the top right corner to show the export options.


Clickable links

  • Clicking into specific data points, like a customer name, invoice or trip number will give the option to

    • Copy value

    • Open in Qargo

    • Where it is a specific trip / invoice / order this will open the specific record.

    • If it is a customer name, opening in Qargo it will automatically open the List View for the relevant module (orders / invoices, etc) and include filtering based on the customer.


Customer vs. Subcontractor Reporting

Customer and Subcontractor reporting is broken out and visualised on 2 different tabs. Once in the appropriate tab, it is possible to filter based on the specific customer or subcontractor via 'Customer' search field.

  • Customer Reporting = REVENUE.

    • In this instance, we also have the subcontractor as a customer. The Revenue table is looking specifically at the ORDERS where they were the customer.

  • Subcontractor Reporting = PROFITABILITY

    • In this visualisation, the subcontractor is also the customer, in this instance, the data is based on TRIPS


Resource Expiration & Resource Validity

RESOURCE EXPIRATION

  • Looks at specific documents and certificates assigned to resources (especially vehicles & drivers), and reports on the expiration date, ie: end of license or permits.

  • Filter on 'expiration date' to see when critical docs are due to expire.

  • Tables available dedicated to specific resources, ie: Driver-related expirations.

RESOURCE VALIDATIES

  • Reports on the validity period for all resources, including start and end date / expiration and number of days to expire.

  • Includes currently unavailable resources due to expired validities.

  • Filter on 'End timestamp' or 'legal end date' to view resources with dynamic unavailability

    • System will automatically mark resource as unavailable due to expiration of document.


Why 2 options?

The split between Expiration and Validity dashboards is mainly due to:

  • Customer workflow: flexibility to see all validities vs just upcoming expirations.

  • Filtering: Resource Expiration typically uses an "is between" expiration date filter, while Resource Validity dashboards employ filters on the legal end date.⁠⁠​

Summary:

  1. Use Resource Expiration for a quick, focused list of items that are about to expire soon (with direct date-based filtering).

  2. Use Resource Validity to see the full range of validity periods for resources (including those that have already expired or cause current unavailability).⁠⁠​
