Introduction
Qargo connects transport operations to accounting software so invoices, credits, customers, taxes, and payment statuses flow with minimal manual work. Below is an overview of what’s available today, the key terms, how to configure an integration, and how the main functions work.
Terminology
Nominal codes
General ledger accounts used to map invoice lines and surcharges from Qargo to your accounting system.
Tax codes or VAT codes
Country-specific tax rate identifiers used to calculate and export tax correctly on each line.
Division/Company ID
The entity identifier in your accounting system to which Qargo will post documents.
Post invoice / Send to accounting
Qargo task/action that triggers export of the approved invoice or credit to the accounting system.
Payment status sync (Where available)
Optional flow that brings “Paid/Part-paid” statuses from the accounting system back into Qargo.
Analytical accounting
Extra dimensions such as cost centres or projects included with invoice lines where supported.

How the integrations work
At a high level:
Create and approve invoices in Qargo
Operational and pricing data flow into Sales Invoices. Qargo can attach PDFs automatically.
Post to accounting
The “Post invoice” task or equivalent trigger exports the document to your accounting system via API or CSV, depending on the integration.
Mappings and enrichment
Qargo maps each line item to nominal and VAT codes. Analytical dimensions can be included where supported by the target system.
Documents
Invoice PDFs are sent along with structured data where supported, reducing OCR needs in accounting.
Payment status (optional)
Where enabled, payment updates sync back to Qargo so finance and ops share a single “truth” on aging and collections.
E‑invoicing (optional)
For PEPPOL, Qargo routes e‑invoices and can centralise purchase invoice ingest and matching workflows.
Quick start checklist

Confirm entities and division/company IDs.
Finalise nominal, tax, and journal mappings in Qargo.
Choose API vs CSV per accounting platform.
Enable PDF export and, if needed, payment status sync.
Test export on a sample invoice, then go live
Configuration
🧰 Accounting Integration setups must be configured by Qargo Admin. Contact your Account Manager or Qargo support for assistance.
Navigate to CONFIGURATION > Accounting
From the side menu, select 'Accounting Integration'
Click on 'Setup new accounting integration'
