Creating a Standalone Credit Note
Navigate INVOICES > Credit Notes. Credit Notes are organised into default views:
All: Will show all credit notes, regardless of status
Draft Invoice: Will show credit notes that have been created and remain in a Draft status.
Invoiced: Will show credit notes that have been verified and generated to an invoice. Depending on individual company process, there may be additional tasks available once invoiced, including sending to the customer.
Invoice posted: Will show credit notes that have been moved into a posted status for importing into accounting software. These can not be modified.
Cancelled: Will show credit notes that have been cancelled and are no longer required. The credit amount will reset to 0 and the status will show a new CANCELLED label.
Click on the green 'Create credit note' button
Select the Customer Name (1), Credit note issue date (2) and SAVE the settings (3). If needed add the Exchange rate date and set the currency.
The credit note will be created in a DRAFT status, with a unique draft credit note number.
Add the reason for the credit note. Click into the row and add the details. Click the SAVE icon.
Add any supporting documentation. Communication, another credit note and other are the options. Each will open a new screen where the document can be uploaded.
Add charges. A new window will pop open where the charge details can be entered.
Add Charges:
Select the appropriate charge from the options in the drop down. This will pull from the charges associated to the Transport charge and surcharges.
Update the name to show in the credit note (if required).
Confirm the tax rate is applied (if applicable). Select from the drop down options if an update is required.
Enter the amount to be credited.
Enter the description or details for the credit note.
Click SAVE.
Once the credit note details have been added and any required documents have been added, use the 'Generate credit note' task to move the credit note from a Draft status to Invoiced.
The credit note will now show as INVOICED, on a unique credit note number and will show under the 'Invoiced' tab.
Once invoiced, the credit note may be sent to the customer. To import into an accounting software, the credit note must be moved to a POSTED status.
Once the post credit note task is complete the credit note status will update and show the 'Invoice Posted' status.
The credit note number will remain the same. In a posted status, the credit note will be included in any export files used to import to into a 3rd party accounting software.
Credit Notes in a POSTED status can not be modified.
Can also be executed in BULK via Quick actions in the credit note list view.
