Q. I want to update the numbers that are generated for my [order, invoice, credit note] in my tenant? How do I update these? Can they be customised for the month and year?

A. The numbers used throughout the Qargo application (orders, invoices, etc) will be set as part of the initial account setup. However this might be something that requires modification on a monthly or yearly basis; for instance, if the typical naming convention requires the year to be part of the prefix.

DEFAULTS

Each number is made up of a PREFIX and a NUMBER. A Prefix (a minimum of 1 character) is required and can be tailored to requirements. The following are created by default:

For the number component the length of the number can be modified. The default is 4 digits, therefore a default Order number will be Or-0001. These numbers will continue to generate sequentially. Each module (order, invoice, etc) is separate, therefore if there are 10 orders generated (Or-0001 to Or-0010) but the Invoice for Or-003 is generated first, the invoice will generate with the default Inv-0001.

The Order number sequencing is determined by the 'Order creation date'. The Invoice and/or Credit Note number is determined by the 'Invoice/CN creation date'.

OPTIONS

There are some additional options available which allow setting a year, or year and month to be included as the number generated. The following is possible to add to any of the configurations:

Examples:

Order number is configured with 'yearmonth4digits' and for November 2024 will show as Or-24110100 (100 order numbers generated). On December 1st the order numbers will update to show as Or-24120001

Invoice is configured to include year(4digits)7 numbers, it will display as Inv-20241234567. On 1st January of the following year, numbers will reset to 0 (Inv-20250000001.

While there is a lot of flexibility to create these numbers there is no option to truly customise them beyond what is currently available.
